Dear Arts and Crafts
Exhibitor,
The Arts & Crafts Committee invites you to participate in
our annual Arts and Crafts Festivals.
The two-day shows will be conducted
on the following dates:
Saturday
and Sunday, June 23 and 24
The shows will open at 10:00 AM and close at 4:00 PM.
We plan to continue to be more attentive to the numbers of
each craft, which means we will be attempting to keep each craft to no more than
ten percent of each show.
Therefore, applications and fees arriving after we have achieved ten percent of
that craft will be returned. First
come—first served.
Enclosed are copies of the shows’ Rules and Regulations and
an application form. Please review
the Rules and Regulations, which will be strictly enforced.
Most of the exhibitor fees that are collected will be
dedicated to advertising, exploring additional ways and means of improving the
shows and increasing the attendance.
If you would like advertising fliers for your area, let us know.
We will send them to you for distribution.
Those of you who participated in our shows during 2011 know
that we have discontinued the Vendor Dinner.
We will, however, continue to offer a $7.00 voucher per space for the
Four Seasons Grille, a restaurant on property.
Once your application, photos, and fees have been received
and your acceptance verified, you will receive a confirmation notice via
postcard or e-mail (if indicated on your application).
We sincerely hope that you will join the Committee and your
fellow crafters in making future Sapphire Valley shows premiere events.

2012 RULES AND REGULATIONS
The following rules and
regulations will apply to all shows and exhibitions sponsored by the Arts and
Crafts Committee. All shows will be
held Rain or Shine.
Fees are non-refundable.
Exhibitors may sell only
work in the description for which they indicated on the application and
presented in photos. All work
displayed must be made by the exhibitor represented in the booth.
Work from commercially reproduced molds, kits, etc. are not
acceptable. Event directors
reserve the right to reject any entry found not to be in compliance with these
rules. No manufactured/imported
items, food or beverages, or any other items ruled inappropriate will be
allowed.
On show days, the
Committee may refuse or cancel an exhibitor’s space without a return of booth
fees if in its sole discretion, it finds that the exhibitor is in
non-conformance with the Rules and Regulations.
Confirmation for booth or booths will be e-mailed or mailed to
you. If not received two weeks prior
to show, you must e-mail svma@aol.com or phone
Sandra at (828) 743-1163 to confirm.
1.
The exhibitor
may begin to set up their booth
no earlier than 3:00 PM on Friday, the day
before the festival.
2.
The exhibitor must be set up for business by 9:45 AM and remain open on
both days until 4:00
PM unless otherwise approved by the Committee.
5. All exhibitors are required
to completely set up their booths prior to the opening of the show
unless a
verifiable emergency occurs and the vendor notifies the Committee.
Exhibitors who
have not
complied by the start of the show may be denied their space for the day at the
discretion
of the
Committee with forfeiture of booth fees.
6. Booths will be attractive in nature. Stock will be neatly piled and/or out of sight. Shelters must be
properly staked down. Ground stakes and ropes will be kept within the assigned booth area and
must be placed by the vendor in a completely out-of-the-way path of
pedestrian traffic. No
object, display, banner, etc. may extend beyond the booth space. The completed set-up will
be checked by the Committee prior to the show’s opening and any objectionable problems must
be corrected before the exhibitor is permitted to open.
7.
Exhibitors must
note on the show application if any combustible fuel such as, propane, lamp oil,
wax, paint,
solvent, etc. is used or stored in the booth.
In such event, or if there is an open flame,
at least a
type B or C fire extinguisher must be present.
8.
The following items will be strictly prohibited:
A.
Alcohol or any illegal substance
B.
Fireworks of any kind
C.
Pets, unless specifically permitted by the Committee
D.
Signs announcing sales, going out of business, reductions in items, etc.
No sign
(description, price, etc.) not directly involved with the sale of items in the
present show will be
allowed.
E.
No fish hooks, sharp objects or weapons of any type, will be allowed except
those which
have
been specifically approved for sale.
In such cases the exhibitor must ensure that all
such
items are kept secure and safe.
9. All vehicles must be parked
on the outer perimeter of the walking track or in the gravel
parking lot
across the street and remain there until after business hours.
Exhibitors’ vehicles may
only be
parked in those spaces designated by the Committee.
10.
Children accompanying the exhibitor must be well mannered and under adult
supervision at all
times.
In no event will children be allowed to play unattended in the festival
area.
11.
The exhibitor is solely responsible for conforming to all Federal and
North Carolina State tax laws
and regulations
that are in effect.

Booth size is 12x12. The fee for
each show is $100.00. However, if
two shows are booked before June 8, the fee is $165.00; and if three shows are
booked before June 8, the total fee is $230.00.
Application and fees for shows must be received no later
than the Friday (one week) prior to the selected show dates to ensure
consideration. All shows will be
held Rain or Shine.
Fees are non-refundable.
If e-mail address is included above, confirmation of acceptance will be
sent to you by e-mail, otherwise it will be sent to you by postcard.
Add an additional $10 per show to the above total fee if electricity is needed.

The Vendor Dinner will be a $7.00 voucher for each space to be used on Saturday
between 4:30 P. M. and 9:00 P. M. at the Four Seasons Grille.

No application will be processed without the acceptance of the agreement
verified by the signatures of all applicants.
I/We have received, read and agree to abide by the Rules and Regulations as stated by the Sapphire Valley Arts and Crafts Committee. I/We also agree to hold the Festival, its Committee, the Sapphire Valley Master Association, and its employees and agents free and harmless from any claims and liability relating to any injury, damages or theft caused by persons or property while said premises are occupied under this agreement. This includes damage, injury or loss of any type from set up to removal of exhibits. The Sapphire Valley Master Association (including its committees, employees and agents) cannot be held liable if any event or portion thereof must be cancelled due to an act of God or other event beyond its immediate control.
